Operations Manager

Position Summary  

To manage the daily church operations in support of the pastor, staff, committees, and facilities including daily scheduling, fiscal operations and social media development.

Responsibilities of the Operations Manager 

  

  • Monitor the front office door during office hours. Schedule the keyless entry door fobs. 
    Greet visitors to the office and those that are arriving for meetings with staff. See to their  needs and provide any assistance required/requested.  
  • Receive, screen, and direct incoming calls. Take messages when appropriate and  distribute in a timely manner.  
  • Assist in maintaining an accurate and updated database of member records and  statistical records for the church, including membership, baptisms, marriages,  membership transfers, etc.  
  • Maintain worship attendance records and communication with visitors via the pastor(s)  Handle church mail, both outgoing and incoming. Ensure outgoing mail is ready for    mailing and is placed in the mailbox in time for daily pick up. Get incoming from the  mailbox and distribute.  
  • Duplicate and fold bulletins, newsletters, and other correspondence and handouts.  
  • File correspondence, reports, and other documentation in appropriate church files.  
  • Maintain the church calendar of events so that it is current.  
  • Monitor the church email for projects and scheduling requests. 
  • Make copies and assist ministries and staff with administrative requests  
  • Update Church website and maintain active social media presence.
  • Order/maintain office and administrative supplies, including paper supplies, postage,  printer toner cartridges, and supplies for copiers.  
  • Order/maintain janitorial and cleaning supplies, and oversee cleaning staff.  
  • Prepare and maintain annual reports, minutes from church conferences and meetings,  and other special projects as directed by the pastor.  
  • Facilitate office procedures/updates.  
  • Troubleshoot and maintain office machines. 
  • Lead office volunteers in administrative support work.  
  • Coordinate and oversee building usage (requests, setting up for groups, serving as liaison with people renting/currently using the  building, etc.)
  • Track rent payments received and notify trustees when any are overdue or in need of more communication

 

Qualifications

  • College degree or 3 years experience in business related employment.  
  • Track record of successful and effective interpersonal relationships.  
  • Exceptional communication and organizational skills.  
  • Great relational skills with people of all ages and situations.
  • Cultural competency/ability to work in a multicultural environment.  
  • Database management experience preferred.  
  • Financial experience/familiarity preferred.
  • Excellent oral and written communication skills.  
  • Ability to maintain confidentiality and professionalism in a church environment.
  • Proficiency in computer software programs, specifically Google Suite and Microsoft Office products including Doc, Sheets, Excel,  PowerPoint, Publisher, and Word; ability to learn church accounting and membership  software.
  • Must be detail-oriented, organized, and a self-starter.  
  • Ability to manage multiple priorities, meet deadlines, and work as part of a team.
  • Possess the willingness to learn about The United Methodist Church policies and programs, both  administrative and ministry.  

Terms of Employment  

Hours: This is a part time position requiring approximately 20+ hours a week, the  majority of which to be worked at church. Regular office hours will be maintained. Work  with the Pastor.  

Salary: Salaries are reviewed by the Staff Parish Relations Committee each fall and  voted on by the Annual Charge Conference, to go into effect January 1st each year. All  requests for personal time must be approved by the Pastor.  

Benefits: There are no benefits for part time employees except as delineated in the Staff  Personnel Manual. A written two week notice is suggested to be given before termination  of employment by either the church or the staff member.  

Supervision: The Operations Manager is directly accountable to the Pastor for the  satisfactory fulfillment of all functions and responsibilities in consultation with the Staff  Parish Relations Committee.
